Create and manage group classes, sessions, rosters, and waitlists
Set up a group class section, schedule its sessions, enroll students, and manage capacity, make-ups, and waitlist interest.
Classes appears when the school has an active group-class program and the user has school-wide scheduling access.
Use Classes to keep the section's schedule, roster, capacity, billing choices, make-ups, and waitlist together.
Available to
Internal scheduling users can use Classes when the school has at least one group-class program. Teachers do not receive the school-wide Classes workspace.
Before you start
- Create the group-class program, pricing, eligible room, and any default teacher first.
- Decide the section capacity and whether it should be visible in the client portal.
- Confirm a student's cadence and billing choice before adding them to the roster.
Steps
- Select Calendar → Classes, then select New class.
- Under Class basics, choose Program and enter Class name. Under Schedule defaults, choose Teacher, Room, and Capacity. Review the billing defaults, then select Create class.
- Open the class section. Use Edit to change Section name, Program, Status, Teacher, Room, Capacity, Portal visibility, or Make-ups, then select Save section.
- Select Sessions. Under Create session, choose Booking type, date, time, Duration, Room, and Teacher. For a series, choose how it Ends. Select Create session or Create sessions.
- Select Roster. Choose the enrollment Cadence, use Client search, select the session and Billing choice, review capacity or billing warnings, and select Enroll student. Complete any payment step only with the payer's authorization.
- Open a scheduled session to record each student's attendance. Roster-wide enrollment and one-session participation remain distinct.
- Select Waitlist, choose Student, add Notes, and select Add to waitlist. This records interest only; it does not reserve a seat or create billing.
- When space is available, select Enroll beside a waitlist entry and complete the enrollment. Select Remove only when the interest should be archived.
- When Place make-up is available, choose Student, Session, and Credit, then select Place make-up. This adds the student to one session and consumes the selected credit without changing the normal roster.
What happens next
Sessions appear on Schedule and under the section's Upcoming sessions. Recurring roster members and session-specific participants remain visible separately. Capacity, billing, attendance, waitlist, and make-up activity stay connected to the class section.
If you do not see this option
- Classes is hidden when no active group-class program exists.
- A room must allow the selected group program and have enough capacity.
- A session time can be blocked by school hours, a closed date, a room hold, or another booking.
- Enrollment can be blocked by capacity, missing student records, unavailable billing choices, or other warnings shown in the roster form.
- A class section with enrolled students cannot be deleted until those students are removed.
- Place make-up requires an eligible student, session, and active credit.
