Manage invitations, account recovery, and staff archive

Give a teacher login access when they are ready, help an existing user recover access, or remove a former staff member safely.

Available to

Owners and admins with access-management permission. Sending an account-recovery email requires a direct owner and password confirmation.

Before you start

Confirm the staff profile uses the person's correct email. Login invitations are available for teaching profiles; a front-desk-only profile may show access status without the same invitation action.

Steps

Send or manage a teacher invitation

1. Open Staff and select the teacher.
2. In Overview, find Login access.
3. Select Send login invite. If an invitation is already pending, select Resend invite instead.
4. Copy the invitation link if you need to share it directly.
5. To invalidate a pending invitation, select Revoke invite.

Help an active staff user recover access

1. Open the staff member's Login access section.
2. Select Send recovery email.
3. Confirm your password, then select Confirm and send.

The recovery link is delivered to the verified login. It is not displayed or copied into the dashboard.

Archive a staff member

1. Return to the Staff directory.
2. Open the row actions and select Delete staff member.
3. Review the confirmation and complete the archive action.

What happens next

Pending invitations become usable, replaced, or revoked according to the action you chose. Archived staff leave the active working roster, while their historical school records remain available where required.

If you do not see this option

• You may not have permission to manage access.
• The profile may be front-desk-only, already archived, or protected by Owner access.
• Public demo schools do not provide real account-access actions.
