Set billing platform access, defaults, and authorization

Connect the school payments account, review invoice and autopay defaults, and enable client billing only when live collection is ready.

Available to owners and admins in a real school workspace; live payment setup is unavailable in demo schools.

Prepare subscriptions, Stripe, plans, and billing defaults first, then authorize client billing as a separate final decision.

Owners and admins can open Settings → Billing. Live platform checkout, Stripe Connect onboarding, payouts, plan sync, and payment collection are unavailable in demo schools.

Before you start

Separate these three decisions:

  • The school’s product subscription controls access to paid platform features.
  • The School payments account connects Stripe for tuition charges and payouts.
  • The Client billing master control starts off and authorizes real invoice delivery, payment links, charges, and subscription changes only when an owner or admin deliberately turns it on.

Steps

Prepare Platform billing

  1. Open Settings → Billing → Platform.
  2. Review the platform subscription. If required, select Subscribe to platform plan and complete checkout.
  3. Under School payments account, select Connect Stripe or Resume Stripe setup.
  4. Complete the required business, representative, bank, and verification information in Stripe.
  5. Return to the dashboard and select Refresh status. Confirm that charges and payouts are ready, and resolve any past-due Stripe requirement.
  6. Review plans and synchronize only complete prices that the school intends to offer.

Review Defaults

  1. Open Billing → Defaults.
  2. Review the billing strategy, invoice day, payment due days, and plan autopay default. Select Save invoice defaults.
  3. Review Invoice delivery and notification ownership, then save the collections settings.
  4. Review payment method and autopay behavior, then select Save autopay defaults.
  5. Review tax and fee settings carefully. Confirm local surcharge requirements when that option is available, then select Save tax & fees.

Authorize client billing

  1. Return to the Client billing control.
  2. Select I reviewed invoice sending and reminder defaults.
  3. Select I reviewed autopay defaults.
  4. Turn Client billing off to Client billing on only when the school is ready for real collection effects.

What happens next

When client billing is on, eligible billing actions can proceed according to each invoice, plan, subscription, and payment method setting. Stripe readiness and provider results remain visible separately from the school authorization.

If you do not see this option

Billing is owner/admin-only. Demo schools show simulated billing records but cannot create Stripe accounts or live payments. A platform subscription may also be required before Stripe Connect becomes available.
