Find an invoice, understand its status, collect payment, or send a payment link

Find the correct invoice, review what is owed, and safely collect a card payment or send the payer a link.

Requires client-billing access, school billing authorization, and payment setup for live collection.

Find the right invoice, verify its remaining balance, and choose the collection method the payer has authorized.

Available to

Owners, admins, and authorized operational staff can use Billing when client billing is included and enabled for the school. Live card collection also requires ready payment setup.

Before you start

  • Confirm the payer, invoice number, line items, remaining balance, and invoice status.
  • Get the payer's permission before charging a card.
  • Do not collect live payments in a public demo; card capture, payment links, and stored-card charges are disabled there.

Steps

  1. Select Dashboard, then Billing.
  2. Use Search invoice, account, or payer, or filter by status such as Outstanding, Overdue, or Paid. You can also start from Billing health on Overview.
  3. Select the invoice row or Open invoice.
  4. On Overview, review Collection summary. Check Grand total, Remaining, Paid, Issued, Due, Autopay, and any discount or refund. Review Line items to confirm what the invoice covers.
  5. To charge in person, select Collect payment. Review the itemized amount and disclosed fee before continuing.
  6. If a saved card is listed, select the payer-authorized card. Review the refreshed total, then select the button labeled Charge followed by the amount. If the price changed, the app asks you to check it again instead of charging a different amount.
  7. If no card is saved, select Add a card. Complete the secure card form. Saving the card does not charge it; after it is saved, use the footer's Charge button to collect the payment.
  8. If the payer will pay themselves, select Send payment link. Review the delivery result. If no reachable contact exists or automatic delivery fails, select Copy payment link and send it through an approved channel.
  9. Open Payments and Timeline to confirm the result. Do not assume a payment succeeded until its status and invoice balance update.

What happens next

A successful charge appears under Payments, reduces the remaining balance, and adds a timeline entry. Send payment link finalizes the invoice when needed and attempts delivery; the resulting link remains available to copy.

If you do not see this option

  • Billing may be excluded by your role, permission, or school plan.
  • Collection actions are hidden for fully paid, void, refunded, or otherwise non-collectible invoices.
  • The school's client-billing master setting may still be off.
  • Payment setup may be incomplete; select Open Payments when the dashboard shows that reminder.
  • Live collection is disabled in the public demo.
  • A payment link may need a reachable payer email or phone for automatic delivery; copy it manually only through an approved channel.
