Manage enrollments, billing, credits, assignments, pipelines, and notes from a profile

Use the connected tabs on a client profile to continue school work without losing the person or family context.

Each profile tab appears only when it applies to the client and your role can use that feature.

Use one client profile to move between enrollment, schedule, billing, learning, admissions, and relationship work with the correct person still in context.

Available to

Internal users with client-profile access can use the tabs permitted by their role. Billing, assignments, pipelines, and notes each have additional capability checks.

Before you start

  • Confirm whether the student is self-managed or billed through an account manager.
  • Review warnings for pending payment, overdue balances, missing cards, plan terms, and archived status before starting new work.
  • Imported or provider-connected clients must still be explicitly authorized for school billing and communication.

Steps

  1. Select Clients, find the person, and open their profile.
  2. Start on Overview. Follow the highlighted next best action only after checking that its recommendation still fits the client.
  3. Select Lessons to review Enrollment & readiness, current plans, and appointments. Use the available enrollment or lesson action to choose the service, plan, time, teacher, and room, then review any payment step before saving.
  4. Select Billing to confirm who handles billing. Review Billing summary, Billing accounts, cards, subscriptions, invoices, payments, and overdue notices. If another person handles billing, select View [name]'s billing instead of adding a second billing setup here.
  5. Select Credits to review active, used, expired, or cancelled credits. Use an eligible make-up action only when the credit matches the service, duration, and session.
  6. Select Assignments to review current and completed work. Use the available assignment action to create or update learning work, then save it with the student still linked.
  7. Select Pipelines to review admissions history. Choose a pipeline to add the person when appropriate, or update the active card's stage and details. Closed pipeline history remains visible but is not an active opportunity.
  8. Select Notes to read pinned and chronological context. Add the note to the correct visibility and person; do not put payment credentials or unnecessary sensitive information in a note.
  9. Follow related lessons, invoices, assignments, leads, or people from their rows. Use the panel's back button to return to the same client and tab.
  10. Reopen Overview and confirm that the next action, warnings, and linked facts reflect the work you completed.

What happens next

The profile updates across connected workspaces. New lessons appear on Calendar, invoices in Billing, assignments in the learning view, pipeline changes in Pipelines, and notes in the shared record history.

If you do not see this option

  • A tab can be hidden because your role lacks access or the feature is not in the school's plan.
  • Archived clients are read-only until reactivated.
  • Billing may belong on the linked account manager's profile.
  • Enrollment can be blocked by missing services, prices, teachers, rooms, availability, plan terms, or billing setup.
  • Credits actions require an eligible active credit and compatible session.
  • Pipelines is hidden when lead management is unavailable, and Assignments requires assignment access.
