Import clients from a spreadsheet
Upload existing school data, answer only the questions that change the result, review the draft, and apply it without contacting clients.
Imports is available to authorized internal users in real schools and is disabled in public demo sandboxes.
Use the importer to turn existing files into reviewed client records without manually retyping the roster.

Authorized internal users can import into a real school. Imports are disabled in the public demo because they create many records and run background analysis.
Before you start
- Export the cleanest available files from the previous system; keep stable IDs, names, emails, phones, relationships, schedules, and billing references when possible.
- The importer supports CSV, TSV, Excel, ODS, and JSON.
- Applying an import creates school records. It does not send emails, texts, or invitations, and it does not authorize billing or messaging for imported clients.
Steps
- Select Add client. If Add your clients appears, choose Import client list. You can also open Imports directly.
- In Start a new import, choose one or more source files. Review the upload limits shown below the picker.
- Select Create import. Watch each file move through upload and wait for Building the current draft to finish.
- Review Source files, Detected records, Questions, and the current status. Open Import details to inspect source-row coverage, assumptions, issues, and entity counts.
- When Current question appears, choose the closest suggested answer. If none fits, enter one short school-specific instruction and select Send.
- Select Refresh draft after adding guidance when a new pass is needed. Add more files to the selected import only when they belong to the same migration; then select Add files.
- Do not apply while open questions, unresolved gaps, or blocking issues remain. Review that the draft is for the correct school and current revision.
- Select Apply import when the reviewed records are ready. If a previously started apply is safely resumable, the button reads Resume apply.
- Wait for completion. Do not start a second import of the same files while the first apply is active.
- Open Clients, search several known families, and verify relationships, contact details, lessons, and billing context before enabling any client-facing activity.
What happens next
The applied draft creates the reviewed CRM records and keeps the import job, questions, assumptions, and source coverage available for audit. The client directory updates as the records are committed.
If you do not see this option
- Imports are disabled in public demo schools.
- Your role may not include import or client-directory access.
- A file type or size may exceed the limits shown in the picker.
- Apply import stays hidden until the current draft is ready and blocking review questions are resolved.
- An active apply shows progress and does not offer ordinary recovery controls; only a safely resumable state shows Resume apply.
- If the job failed, read its exact error before retrying or adding files.
