Understand the hub, All leads, stages, and prospective families

Learn how Pipelines organizes every inquiry, the stages each lead moves through, and the family records created before enrollment.

Use the Pipelines hub to see every prospective family, then open a pipeline to work the leads moving through its stages.

Owners, admins, and team members whose position includes Pipelines access can use this workspace. What you can change depends on your assigned access.

Before you start

A lead is a person or family that may become a client. A pipeline is the path that lead follows, such as a trial lesson, a camp inquiry, or a general enrollment request.

Each pipeline has its own stages, inquiry forms, and one linked default automation. This keeps different kinds of inquiries together without mixing their follow-up rules.

Steps

  1. Open Pipelines from the dashboard navigation.
  2. Start on the hub. The first row, All leads, combines leads from every pipeline into one table.
  3. Use All leads when you need a school-wide view, want to search for a person, or do not yet know which pipeline contains the inquiry.
  4. Review the other rows. Each row represents one pipeline and shows the work owned by that pipeline.
  5. Open a pipeline to see its Overview and Forms tabs. Use Open automation to review its default lifecycle.
  6. On Overview, look at the stages from left to right. Open stages represent active work. Won is for a lead who completes a qualifying enrollment or booking, and Lost is for a lead who will not continue.
  7. Open a lead to review the person, their family relationships, contact details, activity, and next action.

What happens next

Changes made inside a pipeline stay connected to that pipeline. A form feeds a specific entry stage, and its automation can react to events, wait, branch, and send follow-up. The All leads table continues to provide one combined view across them all.

If you do not see this option

Ask an owner or admin to check your position under Staff → Positions & access. If you can open Pipelines but do not see a particular pipeline, it may have been archived or your view may be filtered.
