Find and filter clients

Search the relationship-first client directory and narrow it by role, instrument, archived state, or duplicate status.

Requires client-directory access.

Use Clients to find a person in the context of their family, account, billing responsibility, and next action.

Available to

Owners, admins, staff, and front-desk users with client-directory access can search and filter clients.

Before you start

  • Search for a person, not only a household name; the directory is relationship-first but each person keeps one identity.
  • Archived clients are hidden by default.
  • Name matches under Duplicates are possible duplicates, not automatic proof that two records are the same person.

Steps

  1. Select Clients in the main menu.
  2. Enter a name, email, or phone number in Search clients by name, email, or phone. The list updates after a short pause.
  3. Select Filter to show the filter controls.
  4. Use Filter clients by role and choose All clients, Students, Billing, Account managers, or Self-managed.
  5. Use Filter by primary instrument to narrow the directory to clients connected with an instrument.
  6. Leave Hide archived on for normal work. Turn it off when you need to find an archived record for audit or reactivation.
  7. Turn on Duplicates to review groups of people who share a name. Do not merge from name alone; compare contact information and roles first.
  8. Use Sort directory to sort the current result. Select Clear followed by the filter count to return to the default list.
  9. Select a person or family row to open the client profile and review the linked people, account, access, next action, lessons, and billing context.
  10. For a fast search from anywhere in the dashboard, select Search or run a command… and open the matching client result.

What happens next

The filters are reflected in the current directory view, and paging applies to the complete filtered client set. Opening a row keeps the directory underneath the profile panel.

If you do not see this option

  • Clients is hidden for roles without client-directory access.
  • Select Filter; the filter controls are collapsed by default.
  • An archived person stays hidden while Hide archived is on.
  • A role filter can exclude someone who has a different family role than expected; return to All clients.
  • A person may be in another school scope.
  • Clear the search and filters if the current combination returns no rows.
