Set make-up rules and the policy document

Define cancellation and make-up behavior, publish the account waiver deliberately, and maintain a readable policy document.

Available under Policies for owners, admins, and staff with Settings access; publishing should follow the school's approval process.

Keep the operational make-up rules and the client-readable policy aligned while treating publication as a separate, deliberate action.

Owners, admins, and staff with Policies access can review these settings. Follow the school’s approval process before publishing a waiver or changing client-facing policy language.

Before you start

Agree on cancellation notice, late-cancel and no-show outcomes, who earns credits, where credits can be used, booking horizon, lead time, credit expiry, account limits, and any required consents.

Understand the two layers:

  • Make-ups controls operational cancellation, credit, and booking behavior.
  • Document controls the readable policy text and exports. Editing document wording does not change the operational rule by itself.

Steps

Set operational make-up rules

  1. Open Settings → Policies → Make-ups.
  2. Under Cancellation rules, set Cancellation notice, Late cancellation, and No-show outcomes.
  3. Under Make-up program, choose Make-ups off, Credit when notice is met, or Credit for any cancellation.
  4. Review coverage, slot source, slot length, booking horizon, lead time, credit expiry, active credit cap, self-booking, enrollment-end expiry, teacher and instrument requirements, and booking hours.
  5. Review optional Media release and Emergency care consent settings.
  6. Select Save rules to update operational behavior without publishing a new waiver.
  7. Review the complete summary, then select Publish waiver only when the client-facing version is approved.

Edit and export the policy document

  1. Open Policies → Document.
  2. Edit generated sections inline when the wording needs clarification.
  3. Select Add section for school-specific material, enter the title and position, then add it.
  4. Select Save document changes.
  5. Select PDF or DOCX to export the current document for review or distribution.

What happens next

Saved rules apply to make-up eligibility, credits, and booking behavior according to the selected defaults and any service-specific overrides. A published waiver becomes the client-facing version, while saved document sections remain available for future exports.

If you do not see this option

Your position may not include Policies access. Some choices appear only when make-ups are enabled. Resolve unsaved document changes before leaving the page, and ask an owner or admin before publishing an unapproved waiver.
